Dental Answering Service: AI Receptionist Options, Prices and HIPAA Checks (2026)

The short version
  • Dental practices miss a lot of calls: 38% of 4,280 calls across 26 practices went unanswered in one month of 2026, and 35% of 4,415 test calls reached voicemail during business hours in an older study 1,2.
  • Each missed new patient is real money: a US patient who saw a dentist spent a mean $887 on dental care in 2021 3.
  • The honest limits: Convocore has no verified HIPAA claim and no direct practice software booking. If either is a must, pick a provider that states a signed BAA and lists your software 7,8,9,10.
  • A US receptionist earns a median $38,010 a year, which covers about 40 of the 168 hours in a week 6.

Convocore is an AI receptionist that answers a dental practice's phone around the clock, books new and returning patients into Google Calendar, Outlook or Calendly, and forwards urgent calls to on-call staff. Phone agents start on the Business plan at $99 a month ($66 billed annually) and you can test on the free plan first. Convocore does not claim HIPAA compliance and does not write into Dentrix or Open Dental, so this page compares it with the dental answering services that do, with prices read on 30 October 2026.

How many calls dental practices miss

Peerlogic, which sells call analytics to dental groups, analysed 4,280 patient calls across 26 practices in February 2026 and found 38% went unanswered 1. An older test reported in Inside Dentistry in 2015 placed 4,415 mystery calls and found 35% went to voicemail in business hours; staff tried to book on only 4.2% of calls 2. Both authors sell something, so read them as stress tests.

Patients still phone. A 2019 survey of 1,049 US adults found 55% preferred to book healthcare by phone 4. A 2025 study of 7,379 pediatric dental visits found a 14.3% no-show rate, so reminders matter as much as answering 5.

Booking, emergencies and insurance questions

Booking. A Convocore agent reads availability from Google Calendar, Outlook or Calendly and books new and returning patients, then texts or emails a confirmation. It does not write into Dentrix, Eaglesoft or Open Dental, so your front desk copies bookings across, or you use a webhook or Zapier flow. If the schedule must live in practice software, a dental-specific tool fits better.

After-hours emergencies. You give the agent a list of urgent signs such as swelling, a knocked-out tooth, bleeding or severe pain. When it hears one it forwards the call to your on-call number. Voice transfer is a plain forward: it does not brief the person who answers, so the agent also texts or emails the caller's name and complaint to the on-call dentist. It must never diagnose.

Insurance. The agent answers from a list you maintain, such as which plans you accept, and says it cannot confirm benefits or quote coverage. Anything specific goes to the front desk as a callback.

HIPAA. Convocore does not claim HIPAA compliance. If callers will give health details, you need a business associate agreement from whichever vendor you pick 14. Ask for it in writing, ask where recordings are stored and for how long, and keep the agent to name, number, reason for the visit and preferred time.

AI receptionist cost versus a human

The BLS reports a median $38,010 a year, or $18.27 an hour, for US receptionists in May 2025, before benefits, payroll tax and training 6. That is about $3,170 a month for roughly 40 of the 168 hours in a week. Covering nights and weekends with staff means paying for many more hours.

Convocore's Business plan is $99 a month plus $0.02 a minute and provider costs, so it is a different order of magnitude, though it will not greet patients in the chair or handle a distressed caller with a human's judgement. Most practices use it for overflow and after hours, and keep the front desk for people in the building.

When a different tool is the better choice

Choose a dental-specific AI such as Frontdesk if you need direct booking into Dentrix, Eaglesoft or Open Dental and a stated BAA. Choose Ruby or Smith.ai human plans if you want a person on every call and a vendor that states HIPAA support. Choose Goodcall if a flat per-customer price and a stated HIPAA claim matter most. Choose Convocore if you want one agent across phone, website chat, WhatsApp and Instagram, a free plan to test, or you are an agency building receptionists for many practices.

What the evidence does not show

  • The missed call figures come from a vendor and a consultant, one recent and small, one old and large 1,2.
  • Booking surveys cover healthcare in general and one is from 2019 4.
  • We did not test any provider's call handling, and we did not verify HIPAA terms beyond what each vendor states publicly.
  • Provider pages often omit overage and BAA details; we mark those as not stated or see their pricing page.

Choosing a dental answering service

Count your missed calls for two weeks, split by new and existing patients and by hour. Shortlist providers that cover those hours, book where your team books and will sign a BAA, then call each one with your most common patient questions.

Method and limits

  • Statistics come from pages we opened; vendor studies are labelled with their samples.
  • Provider prices were read on each provider's own page on 30 October 2026, except where marked.
  • Convocore's prices come from the pricing catalog. Convocore sells an AI agent platform, so it has a commercial interest. If you find an error, write to support@convocore.ai.

Questions

Can an AI receptionist book appointments for a dental clinic?

Yes. Convocore's agent books into Google Calendar, Outlook or Calendly and confirms by text or email. It does not write into Dentrix or Open Dental, so a dental-specific tool such as Frontdesk fits better if the schedule must live in practice software. Phone agents start at $99 a month.

Which dentist answering service works after hours with AI?

Goodcall, Dialzara, Frontdesk and Convocore answer after hours with AI; Smith.ai and Ruby offer humans or hybrids. Compare booking, price at your call volume and whether the vendor signs a BAA.

Is Convocore HIPAA compliant for a dental practice?

Convocore does not claim HIPAA compliance. If callers will share health details, get a signed business associate agreement from any vendor first, and keep the agent to name, number and reason for the visit.

How does an AI receptionist handle a dental emergency at night?

You list urgent signs such as swelling, a knocked-out tooth or severe pain. The agent forwards the call to your on-call number and sends the caller's details by text or email. It does not diagnose, and a Convocore transfer is a plain forward.

How much does a dental answering service cost compared with a receptionist?

On 30 October 2026 AI plans ran from $29 (Dialzara) to $349 a month, and human services from $250 (Ruby) to $2,100 (Smith.ai). A US receptionist's median pay is $38,010 a year (BLS). Convocore Business is $99 a month plus usage.

Can the AI answer insurance questions for my dental office?

It can say which plans you accept from a list you provide. It should not confirm benefits or quote coverage, and should hand those to the front desk as a callback.
