White Label Instagram Chatbot: What the Research Says
- Instagram reached 3 billion monthly users in 2025, according to press reports of Meta's announcement 1,2.
- People expect a quick answer. About three quarters of consumers expect a reply within 24 hours, and 73% of social media users say they would buy from a competitor if a brand does not respond 3.
- Volume is rising while replies fall. Incoming Instagram messages went from 13 to 18 a day between 2023 and 2024 as the daily response rate slipped from 8% to 7% 3.
- The platform sets the rules. A business can message only after the customer has, and has 24 hours to answer each message 4.
- The best AI evidence is about helping people, not replacing them. Support agents using an AI assistant resolved 14% more issues an hour, and 34% more if they were new 9.
- We found no study that measures what a chatbot on Instagram does to sales or costs.

How large is Instagram as a business channel?
Meta chief executive Mark Zuckerberg announced on 24 September 2025 that Instagram had reached 3 billion monthly active users, per press reports of the announcement 1,2. It was the first per-app figure Meta had shared since it reported 2 billion in October 2022 1.
Two other measures give a sense of the audience. Meta's advertising planning tools reported a potential reach of 1.67 billion adults aged 18 and over for Instagram in early 2025, and Instagram was the most common answer, at 16.6%, when adult social media users were asked to name their favorite platform 10. Potential ad reach is an estimate of who can be shown an ad, not a count of active users 10.
For business messaging specifically, Meta disclosed on its third quarter 2023 call that people and businesses interact more than 600 million times a day across its platforms. It did not say how much of that is Instagram 11.

What consumers expect when they message a brand
Sprout Social's 2025 Index found that about three quarters of consumers expect a response within 24 hours or sooner, and 73% of social media users say they would buy from a competitor if a brand did not respond to them on social 3. Sprout's Q4 2025 Pulse Survey added that 51% of consumers who reach out publicly expect a public acknowledgement before the conversation moves to a private DM, and that 65% planned to use social as much or more for customer service during the holiday season than the year before 3. Sprout's summary page does not state sample sizes 3.
A separate, broader survey is not Instagram specific but is the largest we found. Kantar surveyed 11,056 adults in 22 markets for Meta and found that 73.3% prefer messaging when communicating with a business, 72.4% are more likely to buy from a brand that offers messaging, and 66.8% feel frustrated when messaging is not offered 5. It was commissioned by Meta, which sells business messaging, so read it as industry research 5.

|---|---|---|
| Expect a reply within 24 hours or sooner | About three quarters | Sprout Social Index 2025 3 |
| Would buy from a competitor if a brand does not respond on social | 73% | Sprout Social Index 2025 3 |

The gap between expectation and response
Sprout's 2025 Content Benchmarks report found that incoming messages on Instagram rose from 13 to 18 per day between 2023 and 2024, while the daily response rate to social messages and comments fell from 8% to 7% across the same period 3. The page does not define response rate or say how many profiles were measured, and it does not say whether the Instagram figure counts comments as well as DMs 3.
Outside social media, the best measurement of business response speed is a 2011 Harvard Business Review study. Researchers sent a test web enquiry to 2,241 US companies. According to a secondary summary, 37% responded within an hour, 16% within 1 to 24 hours, 24% took longer than a day and 23% never responded. Among those that replied within 30 days the average was 42 hours 6,7. The same summary reports a companion analysis of 1.25 million leads in which contact within an hour made a meaningful conversation with a decision maker nearly 7 times as likely as contact an hour later, and more than 60 times as likely as contact after 24 hours or more 7. The article is paywalled, so these figures are reported, not independently checked 6,7.
That study concerns web forms and is 15 years old. It is included because it measures how quickly an enquiry loses value, which is the cost of an unanswered DM.

What answering costs in staff and customer time
ServiceNow and ThoughtLab surveyed 34,000 executives, service representatives and consumers worldwide in September and October 2025, including 2,465 in the UK. In the UK data, service agents spent 49% of their working week on customer issues, with the rest going to administration and switching between systems 8.
On the customer side, the typical internet user spends 2 hours 21 minutes a day on social media, per GWI survey data compiled by DataReportal 10. That is the time during which a question is asked and an answer is expected. We could not find a reliable per-app figure for time spent on Instagram from a source we could open, so none is given.
We found no reliable published measure of how many hours businesses spend answering Instagram DMs. The honest way to size it is with a business's own volumes.
The platform rules a chatbot has to follow
Meta's documentation for the Instagram messaging API sets limits that shape what automation can do. An app can message a user only after that user has messaged the business account, and it has 24 hours to respond to each incoming message. A human agent tag allows replies outside that window for human agent experiences 4.
The connection needs an Instagram professional account and an access token from a person who can send messages from that account. Accounts an app does not own or manage need Advanced Access. Group messaging is not supported, and messages in the requests folder that have been inactive for 30 days are not returned by API calls 4.
In practice, a bot cannot start a conversation or follow up cold. Every automated exchange begins with the customer's own message, and a reply that takes longer than a day falls outside the standard window 4. That is our reading of the rules, not Meta's wording.
| Rule | Detail |
|---|---|
| Who can start a conversation | The customer. A business can message only after the user has messaged first |
| Standard reply window | 24 hours from each incoming message |
| Outside the window | Human agent tag, for human agent experiences |
| Account type | Instagram professional account |
| Text message length | Up to 1,000 bytes of UTF-8 text |
| Images | PNG or JPEG, up to 8 MB, up to ten per message |
| Audio, video, files | Up to 25 MB each; files must be PDF |
| Group messaging | Not supported |
| Requests folder | Messages inactive for 30 days are not returned by the API |
What AI changes: the evidence
The strongest independent evidence is a study of 5,179 customer support agents published by the National Bureau of Economic Research. Agents who used a generative AI assistant resolved 14% more issues per hour on average and 34% more if they were novice or low skilled, with minimal effect for experienced workers. The authors also report better customer sentiment and higher employee retention 9. The assistant supported human agents; it did not replace them.
Consumers are open to it in principle. In the Kantar survey for Meta, 67.7% agreed that getting a response from an AI chatbot is helpful and 42.9% believed AI would improve their messaging experience with businesses 5. Neither result is specific to Instagram.
What the evidence does not show
- We found no study that measures how much an AI chatbot on Instagram DMs raises conversion or lowers cost. The strongest AI evidence is about human agents using an assistant 9.
- The Instagram user count and the 24 September 2025 date come from press reports of Meta's announcement, which we could not trace to a Meta publication 1,2.
- Sprout Social's figures do not come with sample sizes, a definition of response rate, or a statement of whether messages include comments 3.
- The Kantar survey is commissioned by Meta and is about business messaging in general, not Instagram 5.
- The lead response study concerns web forms in 2011 and reaches us through a secondary summary 6,7.
- We found no reliable per-app figure for time spent on Instagram or for hours businesses spend answering DMs.
Applying this as an agency
The evidence suggests three checks before selling Instagram automation to a client. First, how many DMs arrive and how many get an answer today? Sprout's averages suggest volume is rising while response rates are falling. Second, how fast are replies? The 24-hour window sets a hard ceiling on a standard reply 4. Third, does the client have an Instagram professional account that can be connected? That is a requirement of the API 4.
In a white label setup each client authorizes its own Instagram professional account through Meta, and the agent replies under the agency's brand. Because a bot cannot start a conversation, the practical goal is to answer every inbound message quickly and hand the conversation to a person when it needs one. Convocore's plans for this are on the white label overview.
Method and limits
- Every number on this page comes from a source we opened and read on 9 October 2026, except where a source note below says we could only read a summary or search result.
- Sources are labelled primary (read at the original publisher), commissioned (paid for by a party with a commercial interest in the result), secondary (a report of the original) or forecast.
- Where sources disagreed or a figure could not be traced to an original, we left it out. Widely repeated numbers without a traceable origin, such as the share of Instagram users who message businesses, are not used.
- Convocore sells white label AI agents and has a commercial interest in messaging. We have tried to report the evidence as it is, including where it is weak. If you find an error, write to support@convocore.ai and we will correct it.
