What the agent does for a studio

  • Class bookings and waitlists: it checks a calendar for class times, books a spot, and when a class is full it takes the person's name and number and sends the waitlist request to your team. It does not automatically backfill from a waitlist inside Mindbody or similar software.
  • Membership questions: it answers from your price list, class passes, contract terms and promotions. It cannot change a plan or take a payment in the call.
  • Trial class and tour leads: it asks goal, experience and preferred times, books the trial, and emails you only the leads that match your rules. See lead capture.
  • Instagram and WhatsApp DMs: most yoga and pilates enquiries start as a DM. The same agent replies there with the same schedule and prices. See WhatsApp for your agent.
  • Cancellations and freezes: it takes the request and the reason, can offer the alternative you set (a freeze, a lower plan), and routes it to your manager. It does not cancel anything in your billing system.
  • Handoff: calls can be forwarded to a number you pick. The forward is plain, so the person answering is not briefed.

Cost against a part-time front desk

The US Bureau of Labor Statistics puts the median receptionist wage at $18.27 an hour (May 2025). A part-time hire at 20 hours a week costs about $1,583 a month in wages alone, before payroll tax, training and sick cover, and covers only the hours they are in. Teachers cannot answer the phone mid-class, and a desk person adds a cost for the hours before opening and after close. Convocore Business is $99 a month ($66 billed yearly) plus per-minute voice costs, and answers at any hour.

When a different tool is the better choice

  • You want booking software to run the whole studio. Mindbody, Walla or your current platform is the system of record; Convocore does not sync natively to them, so use it in front, with a booking link or calendar.
  • You only need Instagram automation for comments and stories. A tool such as ManyChat may be enough.
  • You need payments or contract signing during the call. Convocore does not process payments in a call.
  • You get a few calls a week. A website booking page and a good voicemail may be enough.

Key facts decision-makers quote

  • Business is $99 a month ($66 billed yearly). If a member is worth several hundred dollars a year, a few extra trial conversions a month cover it. Test free first.
  • Website visitors expect fast answers; delayed replies lose qualified demand.
  • Ground AI answers in your live pages and docs, then escalate when confidence is low.
  • Measure lead quality and containment, not raw chat volume.

Why studios lose trial bookings

  • Teachers and desk staff are busy in class when prospects call or message.
  • Enquiries arrive by Instagram DM and WhatsApp at night, and wait until morning.
  • Schedule, price and cancellation questions repeat all day.
  • Full classes lose the person who wanted a spot because nobody took a waitlist name.

How it fits a studio

You upload your timetable, pricing, policies and FAQs, and the agent answers in your tone. Leads who match your rules (for example, wants a trial this week) are emailed to your team the moment they qualify, and the rest stay in the dashboard. Agencies can run many studios under their own brand with white label. See pricing for plan limits.

Yes. It asks the caller's goal and preferred time, books a tour in your calendar and emails you the details.

Does it work with Mindbody or other booking software?

Not natively. Convocore books into Google Calendar, Outlook or Calendly and can send data by webhook or API, but it does not sync with Mindbody. Native CRM sync is Zoho only.

Can it answer Instagram DMs and WhatsApp?

Yes. Chat agents run on WhatsApp, Instagram DMs, Messenger and your website with the same knowledge as the phone agent.
