HVAC Answering Service: Call Data, Triage Rules and Providers Compared (2026)
- The US had 440,900 HVAC mechanics and installers in 2025, with 11% growth projected to 2035, and BLS notes they may be on call for emergencies and work overtime in peak seasons 1.
- Homeowners expect speed: 73.8% of 1,000 who hired HVAC in the past year expected service within 24 hours for an urgent outage and 29.8% within a few hours 2.
- But most do not shop: about 69% chose a company they had used before or that a friend referred, so the calls you can least afford to miss may be your existing customers' 2.
- Only 52% of inbound home service calls reach a person, and 55% of businesses do not ask for the booking on the calls they answer 4.
- Safety comes first: for suspected carbon monoxide poisoning the US Consumer Product Safety Commission says to get outside to fresh air and call 911, so an answering service must know when to stop and send the caller to emergency services 7.
An HVAC company's busiest days are its hardest to answer: the technicians are on roofs and in attics while the phones ring. This page collects the evidence on how HVAC customers choose and what they expect, how many home service calls get answered, how to triage emergencies safely, and what answering services charged on 3 November 2026.

Why HVAC calls cannot wait
The Bureau of Labor Statistics counted 440,900 HVAC mechanics and installers in 2025 with a median pay of $61,010, and projects 11% growth to 2035. It says the work can include evenings and weekends, that technicians may be on call for emergencies, and that overtime and irregular hours are common in peak seasons 1.
Customers know it. FIELDBOSS, a field service software vendor, surveyed 1,000 US homeowners who had hired HVAC in the past 12 months: 73.8% expected service within 24 hours for an urgent outage, and 29.8% within a few hours 2. The survey has no stated margin of error.
Vendor survey; the two groups overlap.
First to answer, or the company they already know
The same survey asked how homeowners chose: 42.6% prior use, 26.3% referral, 17.0% online search, 7.7% reviews and 1.8% advertising 2. By our sum, about 68.9% went to a company they already knew or were referred to.
A separate 2022 survey by Service Direct, a lead seller for contractors, found 64% of 559 homeowners said answering the first call matters, nearly 40% rarely or never use a contractor who misses it, and 85% contact three or fewer contractors 3. That survey covers general contractors, not HVAC, and the groups differ.
Our reading, not a finding: answering matters for new callers, but a missed call from an existing customer risks the relationship that wins most jobs.
How many home service calls get answered
Invoca's 2026 benchmark found a person answered 52% of inbound home services calls, 65% of calls longer than 15 seconds and 73% of those longer than 30 seconds, with answer rates across segments from 32% to 74%. 38% of answered calls were leads, 45% of those leads converted on the call, and 55% of businesses did not ask for the booking 4. HVAC and plumbing values appear only in the report's charts, so we use the home services totals. Invoca sells call analytics.
What to ask on an HVAC call
Safety first. For suspected carbon monoxide poisoning the US Consumer Product Safety Commission says to get outside to fresh air immediately and then call 911 7. A vendor's triage guide starts with a safety screen (gas smell, sparks, a carbon monoxide alarm, an electrical hazard), then urgency thresholds such as no heat when it is below 32°F outside or no cooling at 95°F or above with vulnerable occupants 5. Those thresholds are that vendor's choices; set your own.
Then collect what the dispatcher needs: system type and age, the service needed, how urgent it is, property details and the preferred time, the intake list Smith.ai publishes for HVAC callers 6.

- We found no official price for ServiceTitan's AI voice agent; one competitor's page says $2.75 a call, which we could not verify.
- Smith.ai's HVAC page lists emergency thresholds you can customise and live agents for dispatch coordination 6.
Recording and consent
Federal law allows recording a call with one party's consent 8, but some states require every party to consent; Washington is one 9. Announce recording at the start of each call.
Where Convocore fits
On Convocore's Business plan ($99 a month, plus a $0.02 a minute voice fee and providers at cost) one AI agent answers your phone and website chat, runs the safety screen you write, collects system details, books into Google Calendar, Outlook or Calendly, texts your on-call technician for the emergencies you define, and sends each lead to your software by webhook 21. It does not connect directly to ServiceTitan, Jobber or Housecall Pro, and a transfer is a plain call forward. If you want jobs created straight in your field service software, compare those tools' own AI add-ons or a provider with that integration.
What the evidence does not show
- HVAC-specific answer rates are only in Invoca's charts, so we use home services totals 4.
- The homeowner survey is vendor-run with no margin of error, and the contractor survey is from 2022 and not HVAC-specific 2,3.
- We found no primary data on how many HVAC calls are emergencies or after hours.
- We found no trade body triage script; the thresholds come from vendors.
- We did not test any provider's call handling or integrations.
Choosing an answering service for an HVAC company
Write your safety screen and emergency thresholds first. If you live in Jobber, Housecall Pro or ServiceTitan, try their own AI add-on. If you want one agent on the phone and website chat with your own rules at a flat price, a platform such as Convocore fits. Either way, make sure the call collects enough to book the job and asks for the booking.
Method and limits
- Figures come from pages opened on 3 November 2026; vendor surveys are labelled with what the vendor sells; snippet-only figures are left out.
- Convocore's prices come from the pricing catalog. Convocore sells an AI agent platform, so it has a commercial interest. If you find an error, write to support@convocore.ai.

Questions
What is an HVAC answering service?
A service that answers an HVAC company's phone when technicians are on jobs or the office is closed. It screens for safety, collects system details, books service and sends emergencies to the on-call technician, using human operators or an AI receptionist.
How much does an HVAC answering service cost?
On 3 November 2026 Jobber's AI receptionist was a $29 a month add-on, Goodcall started at $79, Sameday AI at $449, and human services ran from $49 pay as you go (PATLive) to $2,100 a month (Smith.ai Pro).
Do HVAC customers choose the first company that answers?
Not always. In one survey of 1,000 homeowners who hired HVAC, about 69% chose a company they had used or that was referred. In a survey of general contractor customers, 64% said answering the first call matters.
What HVAC calls should be escalated to a person?
Anything involving a gas smell, sparks, a carbon monoxide alarm or an electrical hazard should be sent to 911 first. Then no heat in freezing weather and no cooling in extreme heat with vulnerable occupants. Set your own thresholds in writing.
Can an AI receptionist book into ServiceTitan, Jobber or Housecall Pro?
Their own AI add-ons do. Other AI receptionists, including Convocore, usually book into a calendar or send the lead by webhook instead.
Is it legal to record HVAC service calls?
Federal law allows recording with one party's consent, but states such as Washington require every party's consent. Announce recording at the start of each call.
